Build a badge-ready spreadsheet

For bulk production, the spreadsheet is the source of truth. Each row should represent one badge—not one buyer, household or order. If one order contains four ticket holders, the production sheet normally needs four rows.

Clean the data before designing

  • Remove leading and trailing spaces.
  • Standardise capitalisation without destroying intentional brand styling.
  • Separate genuine duplicates from people who share a name.

Design a layout that survives real attendee data

Test before the full print run

Print at 100% or “actual size”. Disable browser or printer options that silently scale the page. Measure one finished badge and place it in the real holder. Scan every code with the same devices or scanners expected at the event.

Print and organise without losing control

Use filenames that identify the event, batch and version, for example summit-2026-speakers-v3.pdf. After printing, keep a simple production log: batch name, expected quantity, printed quantity, damaged quantity, reprint quantity and operator.
