Terms of Service

These Terms of Service govern your use of BadgeFlow.

BadgeFlow is a web-based tool for creating print-ready event name badge PDFs from attendee data.

By creating an account or using BadgeFlow, you agree to these Terms.

For the purposes of these Terms, “BadgeFlow”, “we”, “us” and “our” refer to Denis Raslov, trading as BadgeFlow.

1. Using BadgeFlow

You may use BadgeFlow to import event attendee data, design badge templates, and generate print-ready name badge PDFs.

You are responsible for:

  • the data you upload;
  • the badge content you create;
  • checking generated PDFs before printing;
  • ensuring your badge designs and attendee data are accurate;
  • ensuring you have the right to use any logos, images, attendee data, QR codes, barcodes, or other content you upload.

2. Accounts

To use some parts of BadgeFlow, you may need to create an account.

You are responsible for keeping your account login details secure.

You must not share your account with others in a way that could compromise the security of the service.

You must contact us if you believe your account has been accessed without permission.

3. Free beta service

BadgeFlow is currently provided as a free beta service.

This means:

  • features may change;
  • some functionality may be experimental;
  • the service may contain bugs;
  • we may add, remove, or change templates and features;
  • we may introduce paid plans in the future.

If we introduce paid features, we will make this clear before charging you.

4. Acceptable use

You must not use BadgeFlow to:

  • break the law;
  • upload content you do not have the right to use;
  • upload malicious files or code;
  • attempt to access another user’s account or data;
  • interfere with the security or operation of the service;
  • reverse engineer, scrape, overload, or abuse the service;
  • create badges or documents for fraudulent, deceptive, or harmful purposes;
  • upload highly sensitive data unless you have a lawful basis and appropriate safeguards.

We may suspend or terminate access if we believe these Terms have been breached.

5. Uploaded data and customer content

You keep ownership of the data, logos, images, text, templates, and other content you upload to BadgeFlow.

You give BadgeFlow permission to process that content only as needed to provide the service, including:

  • generating badge previews;
  • storing badge projects, where applicable;
  • creating PDF files;
  • providing support if you ask for help.

We do not sell uploaded attendee data.

We do not claim ownership of your attendee lists or badge content.

6. Attendee data and data protection

If you upload attendee data to BadgeFlow, you are responsible for ensuring that you have the right to upload and use that data.

If you are using BadgeFlow on behalf of an organisation, event, company, school, charity, conference, or other group, you are responsible for ensuring that your use of BadgeFlow complies with applicable data protection laws.

Where BadgeFlow processes attendee data on your behalf, BadgeFlow acts as a processor and processes that data only to provide the service.

You must not upload data that is unnecessary for creating badges.

7. Live chat and support

BadgeFlow may provide live chat or other support features.

Live chat is provided through Crisp.

You must not use live chat to send unlawful, harmful, abusive, or unnecessary sensitive information.

We may retain support messages where needed to handle your request, maintain support records, protect the service, and improve reliability.

8. Generated PDFs and printing

BadgeFlow helps generate print-ready badge PDFs, but you are responsible for checking the output before printing.

You should always test print a small sample before printing a full badge batch.

We are not responsible for printing errors caused by:

  • incorrect printer settings;
  • scaling settings;
  • incorrect paper or badge insert selection;
  • wrong badge dimensions;
  • inaccurate attendee data;
  • user edits to badge layouts;
  • third-party printer or browser behaviour.

9. Templates and app content

BadgeFlow may provide default badge templates, layouts, design elements, and example content.

You may use these within BadgeFlow to create badges.

You must not copy, resell, redistribute, or reproduce BadgeFlow’s app, templates, branding, or design assets as a competing product or standalone template library.

10. Service availability

We aim to keep BadgeFlow available and reliable, but we do not guarantee that the service will always be available, uninterrupted, secure, or error-free.

We may suspend, change, or discontinue parts of the service at any time.

11. Third-party services

BadgeFlow uses third-party service providers, such as hosting, authentication, database, infrastructure, and live chat providers.

These may include Supabase, Crisp, and hosting providers.

We are not responsible for failures, outages, or issues caused by third-party providers, but we will try to address service issues where reasonably possible.

12. Disclaimer

BadgeFlow is provided “as is” and “as available”.

To the maximum extent permitted by law, we disclaim warranties of any kind, whether express or implied, including warranties of fitness for a particular purpose, availability, accuracy, and non-infringement.

13. Limitation of liability

To the maximum extent permitted by law, BadgeFlow will not be liable for:

  • indirect or consequential losses;
  • loss of profits;
  • loss of business;
  • loss of data;
  • printing costs;
  • event costs;
  • missed deadlines;
  • reputational damage;
  • losses caused by inaccurate attendee data or incorrect badge setup.

Nothing in these Terms excludes liability that cannot be excluded under applicable law.

14. Termination

You may stop using BadgeFlow at any time.

We may suspend or terminate your access if:

  • you breach these Terms;
  • your use creates security, legal, or operational risk;
  • we discontinue the service;
  • we are required to do so by law.

15. Changes to these Terms

We may update these Terms from time to time.

If we make material changes, we will notify users by email, in-app notice, website notice, or another appropriate method before the changes take effect where required.

By continuing to use BadgeFlow after changes take effect, you agree to the updated Terms.

16. International use

BadgeFlow is operated from the United Kingdom.

You are responsible for ensuring that your use of BadgeFlow is lawful in your country and that you have the right to upload any attendee data, images, logos, QR codes, barcodes, or other content you use in the service.

If you use BadgeFlow on behalf of an organisation outside the UK, you are responsible for complying with any local laws that apply to your event, attendees, and use of personal data.

17. Governing law

These Terms are governed by the laws of England and Wales, unless mandatory laws in your location require otherwise.
